Old Reservation System

[edit] Field reservations
- Trailhead Park has two sports fields that can be reserved as shown on the field map. Field #1 is for soccer or football and covers roughly the northwest half of the practice field area. Field #2 is for soccer, football, or baseball and covers roughly the southeast half of the practice field area. The dividing line between Field #1 and Field #2 is approximate and teams need to cooperate and share the fields in a safe manner.
- Portable soccer goals have been placed on the field and lines have been drawn to accommodate small-sided soccer during times not reserved for team practice. The placement of these small-sided soccer lines and goals may not necessarily coincide with the designated practice fields. The portable goals can be moved during reserved practice time slots if needed. Except for the fields reserved by the process described below, all fields are used on a first-come first-served basis.
- Reservations for the soccer field and the baseball fields DO NOT require a deposit.
- For the Spring and Fall soccer, football, and baseball/softball seasons, the fields can be reserved for the same time and day of the week by a team so that teams can practice on a fixed schedule. No single team can reserve a field for more than two time slots per week.
- The reservation time slots are as follows:
- Monday through Friday: 3:30 PM – 5:00 PM, 5:00 PM – 6:30 PM, M-F 6:30 PM – 8:00 PM
- Saturday and Sunday: 7:30 AM – 9:00 AM, 9:00 AM – 10:30 AM, 10:30 AM – 12:00 NOON
- A reservation made by a team for the Spring sports season is valid from February 15th through May 31st. A reservation made by a team for the Fall sports season is valid from August 15th through November 31st.
- For Spring reservations, a team representative should contact the management company by February 1st indicating that he/she would like to participate in the Trailhead Park field reservation process. (Contact information for the current individual at the management company handling the reservation process will be provided on the District website.) The management company will send out reservation request forms to team representatives by February 1st. Reservation requests received by the management company by February 10th will all be treated equally and will be assigned priority via lottery. Participants will be notified of the time slots that they have reserved by February 15th.
- For Fall reservations, a team representative should contact the management company by August 1st indicating that he/she would like to participate in the Trailhead Park field reservation process. The management company will send out reservation request forms to team representatives by August 1st. Reservation requests received by the management company by August 10th will all be treated equally and will be assigned priority via lottery. Participants will be notified of the time slots that they have reserved by August 15th
- Fields will be allocated by lottery based on time slot preferences, independent of the previous season’s reservations. The reservation request form will allow for three ordered time slot preferences. Each team will have one time slot assigned before any team is assigned a second time slot. The requests of team representatives who are District residents will be honored before the requests of non-residents during the reservation process. All participants in the field reservation process will receive a copy of the complete field reservation schedule along with contact information for each of the team representatives. Teams can swap assigned time slots by mutual agreement, but no team is obligated to swap time slots.
- In past Fall sports seasons, there have been significantly more soccer and football teams trying to reserve fields than there have been baseball teams. Therefore, during the Fall season, both Field #1 and Field #2 will be scheduled for soccer and football, while only Field #2 will be scheduled for baseball. Soccer, football, and baseball teams will be assigned priority from a single pool for both fields #1 and #2. During the Fall lottery process, when the turn comes to assign a field for a football or soccer team during their preferred time slot, they will be assigned to Field #1 if it is open, or Field #2 if Field #1 is already taken for that time slot. During the Fall lottery process, when the lottery turn for a baseball team comes up, the baseball team will be assigned one of its preferred time slots on Field #2 if it is open.
- In past Spring sports seasons, there have been more baseball teams requesting fields. Since only Field #2 can be used for baseball, during the Spring season, baseball will be given priority for Field #2 in the lottery process. Baseball teams will have a separate lottery priority from soccer and football teams. Baseball teams will be assigned their preferred time slots on Field #2 based on lottery priority. After the baseball teams have been accommodated on Field #2, the soccer and football teams will be assigned their preferred time slots on Field #1 and the time slots that remain on Field #2.
